We are recruiting on behalf of our client for a highly skilled and exceptionally organized Global Executive Assistant to provide dedicated support to the CEO, CFO, and regional Managing Directors. This role requires a polished professional who can operate confidently in a fast-paced manufacturing environment, balancing high-energy execution with tact, discretion, and composure when interacting with senior leaders, board members, and cross-functional teams.

Key Responsibilities
Executive Support
- Manage complex global calendars, including scheduling across multiple time zones and prioritizing shifting executive demands.
- Coordinate executive and board meetings, including preparation of agendas, presentations, briefing materials, and secure distribution of documents.
- Handle domestic and international travel arrangements, including itineraries, reservations, logistics, and expense reporting.
- Maintain and organize Outlook folders and inboxes, ensuring timely follow-up and high-level email management, including drafting and responding to messages when appropriate.
- Serve as a trusted point of contact, exercising discretion, professionalism, and sound judgment in all interactions.
Administrative & Cross-Functional Support
- Provide administrative support across HR, Sales, Customer Service, Inside Sales, and general operations during periods of lower executive workload.
- Assist with ad hoc reporting, including sales and cross-functional reporting.
- Help maintain office organization, workflows, and communication across multiple locations globally.
Operational & Cultural Responsibilities
- Work onsite at the Morristown manufacturing plant at least four days per week to remain closely connected to operations and support team culture.
- Demonstrate strong intuition, professionalism, and situational awareness—knowing when to lead, support, or step back.
- Adapt quickly to a dynamic environment with fluctuating priorities and shifting demands.
- Uphold a high-performance standard with close attention to detail, quality, and follow-through.
Authority & Decision Making
- Manage executive calendars and priorities, with authority to prioritize, decline, rearrange, or reschedule meetings on behalf of the CEO and CFO.
- Organize and manage executive communications, including flagging urgent items and drafting responses when appropriate.
- Make travel and logistics decisions, including selecting arrangements, adjusting itineraries in real time, and managing related expenses within guidelines.
- Coordinate board and executive meetings, determining preparation requirements, adjusting agendas, managing attendee lists, and coordinating with board members as needed.
Education, Qualifications & Skills
- 5+ years of experience supporting C-suite or senior executives, preferably in a manufacturing or fast-paced operational environment. Plus strong skills in global calendar management.
- Bachelor’s degree from an accredited university required; Business Administration preferred. Finance or data management emphasis is a plus.
- Proven ability to manage global scheduling conflicts and make real-time decisions with internal and external stakeholders.
- Strong capability to support reporting, document preparation, and workflow management with minimal supervision.
- Ability to organize, refine, and enforce digital file storage, meeting preparation processes, and communication workflows.
- Exceptional organizational, time-management, and multitasking skills with a high degree of accuracy and attention to detail.
- Excellent written and verbal communication skills, maintaining professionalism while conveying appropriate urgency.
- High level of discretion and confidentiality regarding sensitive business and strategic matters.
- Strong proficiency in Microsoft 365, particularly Outlook, Excel, PowerPoint, and Teams.
- High-energy professional with a calm, composed presence.
- Ability to work independently while remaining a reliable and collaborative team member.
- Work performed primarily in an office setting with frequent computer use.
- Ability to work in different areas of the organization based on operational priorities.
- Manual dexterity for typing and handling office equipment.
- Occasional lifting or moving of items up to 10–20 lbs.
